NiNi Discord Bot — Privacy Policy

This policy explains how the NiNi Discord bot (Application ID 1516102832397221998) handles data. NiNi is a private operations bot. It runs only in community servers that we operate (Viyou, Vireel and Wann) and is not offered to other servers. It replaces any earlier version of this policy.

1. What NiNi does

NiNi helps our server staff with internal community operations:

Daily community summary. Messages in staff-selected channels are classified into fixed categories, for example support request, submission or general chat. Staff receive counts and links to the messages that need follow-up.
Activity submission review (when enabled). After an event, the bot checks submissions in a selected thread or channel against the published event rules and produces an advisory checklist. Staff make all decisions.
Feedback topic analysis (when enabled). The bot summarizes the main requests and opinions in one selected channel over up to 7 days.
Member growth statistics. We take daily snapshots of each server's approximate member count.
Staff announcements. The bot posts text that staff have written and approved, and only in designated channels.

NiNi does not send direct messages, does not process voice, does not track presence or activity status, and does not make moderation, reward or role decisions.

2. Data we process

Message data in staff-selected channels: message text, message and channel IDs, timestamps, reply references, reaction counts, attachment counts and links.
Attachments, for submission review only: images or videos submitted to an event, checked for basic properties such as format, size and duration.
Server data: server, channel and thread IDs and names, and approximate member counts.
Request data: if you contact us, your email address, your Discord user ID and the details of your request.

We do not collect passwords, payment information, presence data, voice data or DMs.

3. Why we process it

We process this data only to run and improve our own communities. Specifically, we use it to answer support questions, follow up on feedback, run community events fairly and measure community growth. Where the GDPR or similar laws apply, our legal basis is our legitimate interest in operating our communities. We do not use the data for advertising, selling, profiling individuals or training AI models.

4. AI processing and service provider

For submission review and feedback topic analysis, the relevant message text, and for submission review any supported submission content, is sent to our large language model API provider to generate the result. Our provider is:

Xiaomi MiMo API Open Platform, provided by Beijing Xiaomi Mobile Software Co., Ltd. and its affiliates.
Location: data sent to this provider is processed and stored in the People's Republic of China, under the provider's privacy policy: https://privacy.mi.com/XiaomiMiMoPlatform/en_GB/
Training: the provider states that, without the customer's prior consent, it does not use submitted text content for model training or any other purposes. We have not given that consent.
Retention by the provider: the provider retains data for the period it states is necessary under its policy. That retention is governed by the provider, not by us.

We do not train any AI model on Discord content. We send only the content needed for the selected task. The daily community summary is classified locally and is not sent to the provider.

Data protection laws in China may differ from those where you live. By posting in channels where NiNi operates, you should be aware of this processing. You can ask us to exclude your messages (see Section 8).

5. Retention

Submission attachments	Held in a private temporary folder during the task and deleted when the task ends.
Task results (findings, categories, message links)	Not kept by default. If kept, deleted automatically within 7 days.
Daily summary reports (counts, categories, message links/IDs, no message text)	12 months
Member-count snapshots (server totals only)	Kept as aggregate statistics.
Exclusion markers (a pseudonymous key, used only to honor your opt-out)	For as long as the relevant feature runs.
Privacy request records	Request reference, action and date only, deleted after 7 days. Your email correspondence is kept only as long as needed to handle the request.

Message data stored by earlier versions of the bot was deleted on 2026-10-10.

6. Sharing

We share data only:

with our AI service provider named in Section 4, for the purposes described there;
with authorized staff of the server concerned, who receive results privately;
when required by law, or when necessary to protect the safety of our users or to respond to a security incident.

We do not sell data, and we do not share it with advertisers. The bot does not repost member messages publicly.

7. Security

NiNi runs on an access-restricted machine controlled by the operator. Bot credentials are stored separately from code and are never shared. Each task can access only explicitly selected channels, with a cap of 500 messages per task. The bot can post only in allowlisted channels, and only after staff approval. Results are visible only to authorized staff. If a breach affects your data, we will investigate promptly, take steps to limit the harm, and notify Discord and affected users as required by applicable law and Discord's policies. Discord-derived records kept on the operator Mac are protected at rest by macOS FileVault full-disk encryption.

8. Your rights and how to request deletion

You may ask us to:

tell you what data we hold about you;
correct or delete it;
exclude your messages from future analysis, or withdraw a previous exclusion.

How to make a request: email lyh974976711@gmail.com from any address. Include your Discord user ID and, if possible, a link to a relevant message or the name of the server. We may ask you to confirm that you own the Discord account, for example by contacting a staff member from that account in one of our servers. We will never ask for your password or token.

We aim to respond within 30 days. Deleting our records does not delete your original messages on Discord; you can delete those yourself in Discord. For data held by our AI provider, we will forward or support your request where possible, and you can also contact the provider directly at https://privacy.mi.com/support.

Depending on where you live, you may also have the right to complain to your local data protection authority.

9. Children

Discord requires users to be at least 13 years old, or older where local law requires. NiNi is not directed at children, and we do not knowingly collect personal data from children below the minimum age. If you believe a child has provided us with data, contact us and we will delete it.

10. Changes

We may update this policy. We will change the effective date above and, for significant changes, announce the update in our community servers. If we ever change our AI service provider or the processing location, we will update this policy before the change takes effect.
